What Is an RFP?

An RFP (Request for Proposal) is a formal request you send to hotels asking them to provide group rates for your event. Instead of contacting each hotel individually, groupRooms lets you submit one RFP that goes to multiple hotels at once.

Step 1: Submit Your Request

Provide the details of your group stay: destination, dates, number of rooms, room type preferences, and any special requirements. groupRooms sends your RFP to hotels in your target area.

Step 2: Hotels Respond with Group Rates

Interested hotels review your request and respond with their group rate offers. Each response typically includes:

View all responses side by side on your dashboard. Compare rates, amenities, locations, and terms to find the best fit for your group.

Step 4: Book Directly

Once you have chosen the best offer, you book directly with the hotel. groupRooms facilitates the connection but does not process the booking, giving you a direct relationship with the hotel for your stay.
